TREASURER
2024 SOUTH MAIN ELECTION: 11/14/23
The Board Treasurer is responsible for the association’s funds, securities, and financial records. He or she oversees billing, collections, and disbursement of funds and coordinates the development of the association’s proposed annual operating budget and reserve allocations. In addition, the treasurer is responsible for monitoring the budget, reporting on the association’s financial status throughout the year, and overseeing year-end reporting and any required audits.
Manages and tracks association finances
Prepares quarterly budget reports
Reports on fiscal Issues at board meetings
Balances bank statements
Maintains the association’s tax-exempt status if necessary
Files tax returns as needed

SECRETARY
2024 SOUTH MAIN ELECTION: 11/14/23
The Secretary maintains the association’s meeting minutes and official records, reviewing and updating documents as required and ensuring they are stored safely and accessible to association members. He or she is responsible for providing proper notice of meetings and distributing documents, such as official records, agendas, and meeting minutes, on a timely basis to association members and/or their authorized representatives.
Attends all association meetings
Maintains clear and accurate meeting documentation, such as minutes, attendance sheets, sign-in forms, and other relevant documentation
Creates meeting invites for all meetings of the board
Distributes board meeting minutes within one week of the completed meeting
Ensures bylaws are maintained
Maintains an updated roster of active members monthly and shares it with officers and directors
Holds the association accountable by recording agreed-upon plans
Ensures contact information and their preferred contact method is on file for every board member
Follows up with board members to ensure they’re fulfilling their commitments post-meeting

COMMUNICATIONS DIRECTOR

The Communications Director is responsible for the internal and external communications strategy for reaching the district, media, and greater community.
Manages association’s communication channels, such as newsletters, website, social media, and outreach and promotion of association events, activities, and efforts
Maintains consistent brand voice and upholds brand integrity across all platforms
Manages the content creation process for social media alongside the Arts Director
Assists in the creation of digital, video, audio, and print content
Manages media relations by uploading community events to local event calendars and sharing event plans with media partners
Develops contacts with media members, influencers, and community leaders
Develops, implements, and adheres to communications budget

BUSINESS DIRECTOR

The Business Director is responsible for growing and maintaining the business and vendor memberships of the association. The primary duty is to increase memberships by marketing the association’s benefits to convert them into paying members.
Promotes association business membership offerings at internal and external events
Explains business membership and onboarding processes to receive all benefits
Explains the association’s business levels as needed
Follows up with new business members and attendees to ensure they feel welcome and included
Establishes monthly & yearly goals to achieve the organization’s business membership objectives
Initiates and manages strategic partnerships
Develops strategies and programs to stimulate business engagement as a means of new subscriptions and renewals

MEMBERSHIP DIRECTOR

The Membership Director is responsible for growing and maintaining the individual and family memberships of the association. The primary duty is to increase memberships by marketing the association’s benefits to convert them into paying members.
Promotes association membership at internal and external events
Greets attendees at association meetings and events
Explains meeting sign-in, membership, and communication processes
Explains the association dues process as needed
Follows up with new members and attendees to ensure they feel welcome and included
Establishes monthly & yearly goals to achieve the organization’s membership objectives
Initiates and manages strategic partnerships
Develops strategies and programs to stimulate member engagement as a means of membership renewal

ARTS DIRECTOR
2024 SOUTH MAIN ELECTION: 11/14/23
The Arts Director is responsible for supporting the artistic vision and inclusivity of the South Main Arts District.
Ensures consistency in design across all the online and offline marketing channels
Adheres to brand guidelines
Manages efficiency and quality in content production and collaborates with officers and directors to give feedback to Marketing Team
Assists in the creation of digital, video, audio, and print content
Works with business members to receive assets for website, social media, and newsletters
Facilitates relationships with art vendors for participation in association events
Provides contact information to Business Director for their follow-up on Vendor Association dues to activate involvement

EVENTS DIRECTOR
2 POSITIONS OPENING NOVEMBER 2023
The two Events Directors coordinate with one another to direct the overall planning and strategy for live or virtual meetings and events for the association.
Manages new and existing monthly events such as South Main Socials and Trolley Night
Implements best practices and develops planning standards and procedures to uphold communication and organization
Assists with the development of concepts, themes, and formats for the association that engages members, increase brand awareness, and grow revenue
Develops a network of vendors for complimentary food and drinks at the monthly events
Negotiates with venues, consultants, and vendors to secure rates that enhance budgets
Approves the final selection of venues, catering, technology, and other event support services
Reviews and approves contracts and has the responsibility for ensuring events stay within budget
Works with Arts & Communications Director for the production of event materials, including newsletters, social media promo, event invites, and other public relations that go out to the district, media, and greater community
Provides day-of-event coverage
Facilitates volunteer event committees & manages event volunteers before and on day of event
Oversees the post-event coordination: event breakdown and communication of systemic failures to the rest of the board
